Davies Parsons Allchurch are a 40 user site in Carmarthenshire, Wales. They have been clients of ours since 2003
and were previously using our Digital Dictation and Electronic forms software. In June 2009 they decided to take
up our Case Management and Accounts software LEGALOffice LA.
They did this due to the amount of time and money they hope to save thanks to the many features included with the system.
In September they are planning to roll out the system to their second office .
LEGALOffice SP
Axiom Stone London Ltd.
“As a new start up practice we found LEGALOffice simple to use and easy to set up.
Our account manager John Espley understood our requirements and did not try to sell
us too much. We have found Peapod’s case management and accounts software an integral
part of our organisation’s day to day business function. LEGALOffice has truly given
us a return on investment within our first six months of trading.”
STRONGBox:
Peapod LEGALOffice® convert Law Firm in Camberley to STRONGBox® accounts.
Peapod are proud to announce that they have helped a leading law firm consolidate their
data and improve their practices workflow by converting their current accounts package
to STRONGBox® SME.
The 20 user site was already using Peapod’s Case Management system OFFICECase, and the
Digital Dictation system OFFICEDictate, however they were using a competitor’s package
for their accounts.
By switching to STRONGBox® SME the firm has saved themselves, time and inconvenience
freeing up fee earners to concentrate their efforts on billable work. With their case
management and accounts integrated, the users will no longer have to re-input data
into the accounts system that is already in the case management database. Any files
opened in OFFICECase are automatically opened in STRONGBox® ensuring continuity and
accuracy of data.
To assist the lucidity of the switch over Peapod will transfer all the opening balances
from their current accounts system onto STRONGBox®.
As well as implementing the accounts package the firm have also increased their number of
case management users from 11 to 22, again streamlining operations throughout the practice.
Peapod have been able to implement the new components of the system in a time frame which
suits the firm.
We asked one of the leading figures in the firm to give their thoughts on the project.
“This is an important exercise for us as it sets our future course for achieving a fully
integrated electronic office which will be essential to meet client demands. We are staying
with Peapod because your products work well and over the years we have had very few issues
which interrupted our operation.”

OFFICECase: Criminal
Cullen And Ball, Birmingham - Public Funded Criminal Contracting Specialists.
Cullen & Ball were set up in 2003 by Gerard Cullen and Eddie Ball to serve its LSC criminal contract
in the centre of Birmingham City. Both Gerard and Eddie took the step to branch out on their own after
years of experience and had heard through 'the grapevine' that Peapod provide a leading criminal case
management system.
Timeframes were tight as there were many different areas to manage and organize before business started.
Obviously research had been done prior to the start date as over 7 different solution providers were contacted.
Peapod were chosen!
Mr. Cullen states "Like all new start-ups there were so many different aspects to organize and manage, my mobile
phone was constantly in use. Not only did we have to find suitable office space there are lots of other variables
such as power, lighting and telephony for the office.
It was so important to secure a fully functional office in time to enable us to hit the ground running." Gerard
goes on to mention what his criteria was; "To be honest we needed a solution provider that could take a lot of
the strain out of getting started so we needed someone who could not just provide a working case management
solution but also provide a complete solution, the network, the hardware, the software and the necessary training,
we were confident in Peapods abilities".
The OFFICECase criminal module enables fee earners and support staff to drastically reduce the time spent on
administrating an LSC criminal contract. Time recording is simple, quick and automated, thus enabling firms to
complete CDS forms easily and automatically. A complete history of what has occurred on each case is on screen
to view by all staff as well as a seamless integration with Microsoft Word. "You don't need to be IT literate
to appreciate the benefits of a decent case management system. I understood my staff needed the tools to work
efficiently as I will be in court most of the time" says Gerard.
On the Peapod Staff...
"Our Peapod account manager (Mark Wimbush) never tried to sell more than was necessary, the pricing was extremely
competitive and overall, for what we ended up with, pound for pound was the best system we looked at. More importantly
I had confidence it would be up and running in time for my staff to be ready to use and I was proved right" "My staff
tell me they 'love it', the network and software installation engineer was efficient and professional and the only
interference I had was to let him in the building.
Our trainer was professional. We only needed one day user training and if there was anything we needed a reminder on,
she was there ready to help. It was apparent that Peapod don't just train on software but understand the criminal
practice and criminal work. I would certainly recommend the solution to other firms and we now have great confidence
in using Peapod to assist us for future growth"
OFFICECase: Personal Injury
Ewart Price, Welwyn Garden City, Personal Injury Specialists.
Personal Injury law firm in Welwyn Garden City, Ewart Price, has for some time now used Peapod as their main IT
supplier, Nigel Hunt, legal executive and Systems Administrator had the following to say;
"We installed OFFICECase in May 2003. We were able to have OFFICECase running in a matter of days, whilst still
continuing to maintain our substantial case load. Our previous system took almost nine months to set up with a person
dedicated solely to this!
The initial teething problems were few, and dealt with smoothly by Peapod. Most of these were caused by the strange way
that our old system stored standard letter templates.
Perhaps the biggest testimony that we could give to OFFICECase is that the loudest advocate of the system was the biggest
critic and most infrequent user of our old system."

OFFICEDictate:
Truemans Solicitors: Oxfordshire
Truemans were looking for a digital dictation solution and decided that Peapod’s OFFICEDictate
was the best option. As a busy Oxford City Centre firm focussing on Crime, Family, P.I and Conveyancing
they had to find a product that would be up and running in a day or so and have minimal interference
with the workload. Sixteen (16) users were trained and the key to its success was not to present them
with anything too different to what they were already used to, (an analogue tape based system).
Michael Trueman adds "We were keen to speed up the production of work and to use modern technology to
do so. After reading a review on Peapod's system in the Law Society Gazette and comparing it with several
others we decided to take a 2 week money back trial and let Peapod prove to us how good the system could
be, but more importantly to help win over any doubters internally about the concept of digital dictation"
Once the system was installed and all the staff were using it they soon forgot about the old tape based system,
they didn't want to change how staff dictate and transcribe however they did want to match current procedures
and also improve efficiency.
When there isn't 100% staff availability due to holidays or sickness it was easy to set up a dictation pool in
order to share work and help any overflow. In fact they soon found that over these periods it is now so much
easier to distribute and share work around.
Michael continues......."A couple of benefits to the Peapod system are the ability to see completed work and
also work in progress on the screen at any time, this is a great help from an organisational point of view as
you can see if the work load is getting to high or low or if the work is not being distributed or completed
evenly."
The ability to work (Dictate or Transcribe) from home with the use of E-Mail is as simple as sending or receiving
a normal attachment. With the portable dictation devices, being out of the office a lot means they can now send
work in to secretaries from home and abroad by e-mail without any delay.
"Overall I think Peapod performed well in their sales, support and implementation areas and we got the product that
we were promised we are very pleased with the system and would recommend it to any other firm of our size".
